Just create an Inventory item named "Engine expenses" and assign it to a file folder grouping and the number for that file will be assigned and displayed to direct the user to the appropriate file number. By selecting a location it will also be clear where the file is stored (captain's cabin, accountant's office, bridge, etc.)
